Refund Policy

At Deep Modules, we are committed to delivering high-quality e-commerce websites, web applications, web services, and custom digital solutions according to the requirements agreed with our clients.

Because our services involve dedicated development time, technical resources, project planning, design, development, testing, and custom implementation, our refund policy is designed to clearly define the circumstances in which a refund may or may not be applicable.


1. Project Approval and Scope

Before development begins, Deep Modules and the client may discuss the project requirements, features, functionality, design direction, technology requirements, timelines, and other relevant details.

Once the project scope has been discussed, confirmed, approved, or development has started based on the agreed requirements, the project is considered active.

Payments made toward an active project are generally non-refundable once development, design, planning, research, configuration, or other project work has commenced.


2. Change of Plan During an Active Project

A refund will not be applicable if a client changes their selected plan, package, project structure, or service requirements after the project has already started.

If a client wishes to upgrade, downgrade, add additional services, remove features, or change the project structure during development, Deep Modules may review the requested changes and provide a revised quotation, timeline, or project scope where applicable.

Changes made after development has started may require additional development time and additional charges.


3. Sudden Change of Idea or Business Requirements

Refunds are not applicable when a client substantially changes their original idea, business model, website concept, design direction, functionality, or project requirements after work has already begun.

Deep Modules understands that business requirements can evolve. Where possible, we will work with the client to accommodate reasonable changes. However, substantial changes may be treated as a new scope of work and may require additional charges or an updated timeline.

Work that has already been completed based on previously approved requirements remains billable and is not refundable solely because the client later decides to change direction.


4. Project Delivered According to Agreed Requirements

A refund will not be applicable when Deep Modules completes and delivers the project substantially according to the requirements, specifications, features, and scope agreed with the client.

Before project completion, the client may be provided with an opportunity to review the work and communicate reasonable issues related to the agreed scope.

Minor corrections, bug fixes, or reasonable adjustments that fall within the agreed project scope may be addressed according to the project's applicable revision or support terms.

A client's dissatisfaction resulting from requirements that were previously approved or from a subsequent change of preference does not, by itself, create an entitlement to a refund.


5. Change Requests and Additional Work

Requests that fall outside the original agreed scope may be treated as additional work.

Examples may include:

  • New website pages or sections.
  • New e-commerce functionality.
  • Additional integrations.
  • Changes to previously approved designs.
  • Major changes to the website structure.
  • Changes to previously approved functionality.
  • New third-party services or APIs.
  • Changes caused by a change in business requirements.

Additional work may require a separate quotation, additional payment, and an updated delivery timeline.


6. Additional Requirements and Out-of-Scope Work

Any requirement, feature, functionality, design change, integration, modification, service, or other work that was not included in the original agreed scope of work may be considered additional work.

Additional requirements may require additional development time, technical resources, research, testing, configuration, design work, third-party services, or other efforts from Deep Modules.

Where a requested change or additional requirement falls outside the original project scope, Deep Modules may provide a separate quotation, estimate, or revised project proposal before commencing the additional work.

Additional charges may apply based on the complexity, resources, development effort, and time required to complete the requested work. The project delivery timeline may also be extended accordingly.

Examples of additional requirements may include, but are not limited to:

  • New features or functionality not included in the original scope.
  • Additional website pages or sections.
  • New e-commerce functionality or business rules.
  • Additional payment gateways or third-party integrations.
  • New APIs or external system integrations.
  • Major changes to an approved design or user interface.
  • Changes to previously approved functionality.
  • Additional dashboards, reports, or administrative features.
  • Additional revisions beyond the agreed revision limit.
  • Changes resulting from a new business requirement or change in strategy.
  • Additional data migration, content entry, or product uploading.
  • Additional hosting, software, plugins, licenses, or third-party services.

Work will not be considered part of the original scope merely because it is requested during the project. The original scope is determined by the requirements, specifications, proposal, quotation, agreement, or other documentation approved by the client before or during the commencement of the project.

Deep Modules will make reasonable efforts to communicate the expected additional cost and impact on the project timeline before undertaking significant out-of-scope work.

Once additional work has been approved by the client, the associated charges and revised timeline may become part of the updated project scope.


7. Client Delays and Non-Responsiveness

Deep Modules is not responsible for delays caused by the client, including delayed content, images, product information, approvals, credentials, access details, feedback, payments, or other required materials.

Client-caused delays do not automatically create a right to cancel the project or request a refund.


8. Third-Party Services and Expenses

Certain projects may require third-party services such as hosting, domains, premium plugins, themes, APIs, payment gateways, software subscriptions, licenses, or other external services.

Payments made to third-party providers may be subject to those providers' own refund and cancellation policies. Deep Modules cannot guarantee refunds for third-party services that have already been purchased, activated, consumed, or committed on behalf of a client.


9. Approved Designs and Development Work

Once a design, layout, functionality, feature, or project direction has been approved by the client and development proceeds based on that approval, the associated work is considered authorised.

A later change of preference does not automatically qualify the client for a refund for work already completed.


10. When a Refund May Be Considered

Although refunds are generally not applicable once project work has commenced, Deep Modules may consider a refund in exceptional circumstances at its reasonable discretion.

Any refund consideration may take into account the work already completed, development hours, resources used, third-party expenses, project stage, and other costs incurred by Deep Modules.

Where a refund is approved, the refundable amount may therefore be reduced by applicable work completed or non-refundable expenses.


11. Cancellation of a Project

If a client wishes to cancel an active project, the client should contact Deep Modules as soon as possible.

Cancellation does not automatically result in a refund. Deep Modules may calculate the amount of work completed, resources committed, third-party expenses, and other applicable costs before determining whether any amount is refundable.

Any outstanding amount for work already completed or expenses already incurred may remain payable by the client.


12. Bugs and Technical Issues

A technical issue or bug that falls within the agreed project scope does not automatically qualify for a refund.

Where the issue is caused by our development work and falls within the agreed scope, Deep Modules will make reasonable efforts to investigate and correct the issue in accordance with the applicable project or support terms.

Issues caused by third-party services, client modifications, unsupported environments, changes made after delivery, or external systems may be outside the scope of our responsibility.


13. Refund Request Process

If you believe you have a valid reason for requesting a refund, please contact Deep Modules with your project details and the reason for your request.

We may review the project status, agreed scope, completed work, communications, payments, and other relevant information before making a decision.

Refund decisions will be communicated to the client after the review has been completed.


14. Refund Processing

Where Deep Modules approves a refund, the refund will generally be processed using the original payment method where reasonably possible.

Processing times may vary depending on the payment provider, banking institution, or payment method used for the original transaction.

We encourage clients to communicate their requirements clearly before development begins and to review project proposals, specifications, designs, and agreed scope carefully before approving the project.
